Plain English summary: We store your security camera footage securely in the cloud. You own your footage — we never sell it, share it, or access it except to operate the service or if required by law. We only collect data we actually need. You can request deletion at any time.
We collect information in the following categories:
Account information — When you sign up, we collect your name, business name, email address, phone number, and billing information. Billing details are processed by our payment provider; we do not store full card numbers on our systems.
Camera footage and metadata — The core of our service is the recording and storage of video streams from your security cameras. This includes continuous video recordings, motion-triggered clips, and associated metadata such as timestamps, camera identifiers, and motion event logs.
Technical and device data — When you access your dashboard, we automatically collect your IP address, browser type and version, operating system, device type, session duration, and pages visited. This data is used solely to diagnose issues, monitor system health, and maintain service performance. We do not build advertising profiles from this data.
Usage logs — We retain server-side logs of API requests, login events, and system errors. These logs are used for security monitoring, debugging, and uptime analysis. Logs are retained for up to 90 days and then automatically deleted.
Communications — If you contact us by email, phone, or our website form, we retain records of those communications to provide support and maintain a history of your account interactions.
We follow a data minimization principle: we collect only the data that is necessary to provide and operate the BeaconCloud service. We do not collect personal information speculatively, for future potential use cases, or to build user profiles.

Purpose limitation: We do not use your footage, account information, or usage data for advertising, marketing to third parties, sale to data brokers, or any purpose other than operating the BeaconCloud service. We do not perform behavioral analysis or build audience profiles from your data.
You own your footage. All video recordings, clips, and footage stored through BeaconCloud remain your property. We do not claim any ownership or intellectual property rights over your camera recordings.
BeaconCloud personnel do not view, access, or review your camera footage except in the following strictly limited circumstances:
In any case where we access footage, access is limited to the minimum necessary, is logged, and — where legally permitted — we will notify you promptly.
All BeaconCloud data — including your camera footage, account information, and system logs — is stored on servers located in the United States, operated by our infrastructure provider Vultr. We do not transfer your data outside the United States.
By using BeaconCloud, you consent to your data being stored and processed within the United States under U.S. law.
We implement multiple layers of technical and organizational controls to protect your data:
Encryption in transit: All data transmitted between your cameras, your devices, and BeaconCloud servers is encrypted using TLS 1.2 or higher. We do not support legacy unencrypted connections to any part of our platform.
Encryption at rest: Camera footage and account data stored on our servers is encrypted at rest using AES-256 encryption. Encryption keys are managed separately from the data they protect.
Client isolation: Each customer's footage is stored in a completely isolated environment — separate storage buckets, separate database credentials, and separate access controls. It is architecturally impossible for one customer to access another customer's recordings.
Principle of least privilege: BeaconCloud team members are granted access only to the systems and data strictly necessary for their specific job function. No single employee has unrestricted access to all customer data. Access to production systems requires authentication and is logged.
Firewall and network controls: Our servers are protected by strict firewall rules that expose only the network ports required to operate the service. All other ports are blocked by default.
Authentication: Access to backend infrastructure requires multi-factor authentication. Customer-facing account passwords are hashed using modern cryptographic standards and are never stored in plain text.
Important: No method of transmission over the internet or method of electronic storage is 100% secure. While we implement industry-standard measures and work hard to protect your data, we cannot guarantee absolute security. Camera footage is retained on a rolling basis according to your subscription plan:
Footage older than your plan's retention window is automatically and permanently deleted on a rolling basis. Once deleted, footage cannot be recovered.
Account data (your name, email, phone number, business name) is retained for as long as your account is active and for 14 days following cancellation, after which it is permanently deleted. Billing records (invoices, payment history) may be retained for up to 7 years as required for accounting and tax compliance.
System logs are retained for up to 90 days and then automatically deleted.
Account closure: When you cancel your subscription, your footage and account data will be retained for 14 days to allow you to download any recordings you need. After 14 days, all footage and personal data will be permanently deleted.
Deletion on request: You may request deletion of your account and all associated data at any time by emailing info@beaconcloud.io. We will complete the deletion and confirm it to you within 30 days of your request. Billing records required for legal compliance cannot be deleted on request.
We do not sell, rent, or trade your personal information or footage to any third party. To operate the service, we share limited data with the following sub-processors:

Data Processing Agreements (DPAs): We maintain contractual Data Processing Agreements with each sub-processor listed above. These agreements require sub-processors to: protect data to standards equivalent to those described in this policy; restrict use of your data to only the purpose for which it was shared; and notify us promptly of any security incidents that may affect your data.
We will update this table if we add or change sub-processors, and will notify you in advance of any change that materially affects how your data is handled.
Other limited disclosures: We may also share data in the following circumstances: (a) if we have a good-faith belief it is necessary to prevent imminent harm or address a serious safety threat; or (b) if BeaconCloud is acquired or merges with another company, in which case we will notify you at least 30 days in advance and you may cancel before the transfer takes effect.
We take requests for user data from law enforcement and government authorities seriously and handle them carefully. Our policy:

When you sign up for BeaconCloud, you are presented with a checkbox that you must actively check to confirm that you have read and agree to this Privacy Policy and our Terms of Service. We use this "clickwrap" method — a box that must be explicitly checked — rather than assuming consent through passive notification or continued browsing.
Your consent covers the data collection and processing practices described in this policy as of the date you sign up. If we make material changes to this policy in the future, we will seek your renewed confirmation before those changes take effect.
You may withdraw consent at any time by canceling your subscription and requesting deletion of your data as described in Section 7. Withdrawal of consent does not affect the lawfulness of processing that occurred before withdrawal.
BeaconCloud is a business-to-business service intended exclusively for use by adults operating businesses. We do not knowingly collect personal information from children under the age of 13. Our service is not directed at children, and we do not market to children.
If you believe a child under 13 has provided us with personal information, please contact us immediately at info@beaconcloud.io and we will promptly delete that information from our systems.
If your business premises are monitored by cameras connected to BeaconCloud, those cameras may incidentally record minors who visit your location. That footage is your business data, and you are responsible for ensuring your use of security cameras complies with all applicable laws in your jurisdiction regarding the recording of minors in commercial settings.
Our marketing website uses a small number of first-party cookies to understand how visitors navigate the site (such as which pages are most visited). We do not use third-party advertising cookies, tracking pixels, or ad network tools.
The BeaconCloud client dashboard uses session cookies that are strictly necessary to maintain your logged-in state. These cannot be disabled without preventing the service from functioning.
You can control or delete cookies at any time through your browser settings. Disabling cookies on the marketing website will not affect your ability to use BeaconCloud, though disabling them within the dashboard may interrupt your session.
We may update this Privacy Policy from time to time. When we make changes, we will update the "Last updated" date at the top of this page.
For material changes — particularly any changes to how we collect, use, store, or share your footage or personal data — we will notify you by email at least 14 days before the changes take effect. Where the change is significant, we will ask you to re-confirm your agreement before it applies to your account.
Continued use of the service after a policy update takes effect constitutes acceptance of the updated terms. If you do not agree to updated terms, you may cancel your subscription before the effective date.
